Key Responsibilities & Duties

  • Provide registry counter services and handle telephone enquiries
  • Receive, sort, and register all incoming and outgoing mail and files
  • Maintain the departmental filing system by opening and closing files according to the approved classification system
  • Facilitate the storage, electronic/manual tracing, and retrieval of documents
  • Manage the franking machine, including daily register updates and security checks
  • Maintain the remittance register for valuable articles and coordinate with Finance
  • Process documents for archiving and disposal, including electronic scanning and packaging
  • Compile archival lists and maintain records for long-term storage
